Jacknife is looking for a responsible and engaged Office Administrator to perform a variety of administrative and clerical tasks for a dynamic and busy design studio. Duties include providing support to managers and employees, assisting in the daily office needs and managing our general administrative activities. The Office Administrator should have a positive attitude, be solutions focussed, an excellent communicator and flexible.
Roles & Responsibilites
- Support in all administrative tasks of the business
- Support studio in front of house/reception and assist all studio visitors
- Answer and direct phone calls
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Order monthly studio supplies and track all expenditures, research new suppliers
- Liaise and coordinate with third-party suppliers and partners for overall studio maintenance
- Work together with building management
- Interface and coordinate with IT team
- Support HR with filing and administrative HR tasks
- Support a busy Project Management team with administration duties (notetaking, catering orders, booking travel, updating documents)
- All other duties as assigned
Required Experience & Qualifications
- Knowledge of office management systems and procedures
- Strong organizational skills with the ability to multi-task
